Microsoft 365 Privacy Policy

Microsoft 365 is a suite of cloud-based productivity and collaboration tools that includes applications such as Outlook, Word, Excel, PowerPoint, Teams, OneDrive, SharePoint, and more. What personal data do we collect and why?

  • To protect and comply with Microsoft 365 services, such as enforcing our terms of service, detecting and preventing fraud, abuse, and unauthorized access, and complying with our legal obligations and requests from authorities.
 

How do we share personal data?

We do not sell or rent your personal data to third parties for their own marketing purposes. We may share your personal data with the following categories of recipients:

  • Microsoft and its affiliates, subsidiaries, and partners, who provide Microsoft 365 services and other products or services that are integrated or compatible with Microsoft 365, such as Office, Windows, Azure, Dynamics, and LinkedIn.
  • Service providers and contractors, who perform services on our behalf or under our instructions, such as processing payments, hosting data, providing customer support, and sending communications.
  • Other users and organizations, who you choose to share your personal data with, such as your colleagues, clients, or external collaborators, when you use Microsoft 365 features and functions that enable sharing, such as email, chat, file sharing, and co-authoring.

  • We retain your account information, such as your name, email address, and password, until you delete your Microsoft account or request us to do so.
  • We retain your payment information, such as your credit card number and transaction history, for the duration of your Microsoft 365 subscription or as long as required by tax, accounting, and financial laws.
  • We retain your usage data, such as the features and functions you access, the frequency and duration of your activities, and the feedback you provide, for up to 18 months or as long as required by law.
  • We retain your device and network data, such as your IP address, browser type, operating system, device model, and location, for up to 30 days or as long as required by law.
  • We retain your content data, such as the text, images, audio, video, and other data that you store, transmit, or process using Microsoft 365 services, until you delete it or request us to do so. However, some content data may remain in our backup systems for a limited period of time after deletion.
 

How do we respect your rights and choices?

You have certain rights and choices regarding your personal data and how we handle it. These include:

  • Accessing and updating your personal data. You can access and update your personal data through your Microsoft account settings, or by contacting us.
  • Deleting your personal data. You can delete your personal data through your Microsoft account settings, or by contacting us. However, some personal data may not be deleted if it is necessary for us to retain it for legal or legitimate business purposes.
  • Downloading your personal data. You can download your personal data through your Microsoft account settings, or by contacting us. You can request a copy of your personal data in a commonly used and machine-readable format.
  • Objecting or restricting the processing of your personal data. You can object or restrict the processing of your personal data through your Microsoft account settings, or by contacting us. You can opt out of receiving marketing communications, personalized content, and targeted advertising from us or our partners.
  • Withdrawing your consent. You can withdraw your consent to the processing of your personal data at any time through your Microsoft account settings, or by contacting us. However, this will not affect the lawfulness of the processing that was based on your consent before its withdrawal.
